Follow-up rules

High priority: review daily and follow up every 3 days.
Medium priority: review during the follow-up block every 5 days.
Low priority: batch once weekly or close after one polite follow-up.
Never follow up without a new reason, resource, question, or deadline.

Daily checklist

Reply to 12 high-priority threads first.
Process 9 due follow-ups before opening the timeline.
Triage 4 new DMs into a real stage or close them.
Update last DM date, next follow-up date, and next action.
Leave DMX only after the active DM queue has a next action.

Run the CRM from a calmer inbox.

DMX keeps X DMs and notifications available in a native macOS app, so the CRM stays about conversations instead of scrolling.

Import notes

Notion: create a table database, paste the CSV, then convert Stage and Priority to select properties.
Airtable: import as CSV, make X Handle the primary visible field, and add a filtered view for Follow-up due.
Google Sheets: paste into A1, freeze the header row, and filter by Stage, Priority, and Next Follow-Up Date.
Any CRM: keep the exact stage names and map Notes fields to custom text fields.
